South Wales Auto Tech Ltd (“we”, “us” or “our”) is committed to protecting and respecting your privacy. This Privacy Policy explains how we collect, use, store and protect your personal data when you enquire about or use our services, or when you visit our website at southwalesautotech.com. It also sets out your rights under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

1. Who we are

South Wales Auto Tech Ltd is the “data controller” responsible for your personal data. We are a company registered in England and Wales under company number 17252800, with our registered office at 65 Badgers Mead, Brackla, Bridgend, CF31 2PZ. We provide mobile vehicle ECU remapping, tuning and diagnostics, auto locksmith services (including replacement and spare keys, key programming and vehicle entry) and related vehicle solutions across Bridgend, Cardiff, Swansea and the M4 corridor.

2. The personal data we collect

Depending on how you interact with us, we may collect and process the following categories of personal data:

    • Identity and contact details — your name, telephone number, email address, and the address or location where mobile work is to be carried out.

    • Vehicle information — your vehicle registration mark, make, model, VIN, mileage, engine and ECU details, stored fault or diagnostic codes, existing modifications and relevant service history.

    • Booking and transaction details — the services you request, quotations, appointment dates, work carried out and records of payment (we do not store full payment card numbers).

    • Proof of ownership and identity — where you request auto locksmith services, we may collect documents such as your V5C logbook or other proof of ownership, together with photographic identification, so that we can verify you are entitled to have keys made or to gain access to the vehicle.

    • Communications — the content of messages you send us by telephone, WhatsApp, email, social media or our website enquiry forms.

    • Website and technical data — your IP address, browser and device type, and information collected through cookies and analytics when you use our website.

    • Marketing preferences — your choices about receiving marketing from us.

Your vehicle registration and VIN can, in combination with other information, identify you, and we therefore treat them as personal data.

3. How we collect your data

We collect your personal data:

    • directly from you, when you contact us, request a quotation, make a booking or speak to us in person;

    • automatically, when you use our website, through cookies and similar technologies;

    • from your vehicle’s on-board systems, when we carry out diagnostics or remapping work; and

    • occasionally from third parties, such as someone who refers you to us or a partner you have asked to deal with us on your behalf.

4. How we use your data and our lawful bases

We only use your personal data where the law allows us to. The main lawful bases we rely on are performance of a contract, our legitimate interests, compliance with a legal obligation, and your consent. We use your data to:

    • prepare quotations and provide the services you have requested (contract);

    • contact you about your booking, vehicle or the work we are carrying out (contract / legitimate interests);

    • take payment and keep proper financial and accounting records (contract / legal obligation);

    • keep technical records of work performed on your vehicle, including original and modified ECU files, to support future servicing, safety and any warranty on our work (legitimate interests);

    • respond to your enquiries and deal with complaints (legitimate interests);

    • verify proof of ownership and identity before carrying out auto locksmith or key work, to help prevent fraud and vehicle crime (legitimate interests / legal obligation);

    • send you marketing about similar services, where you have consented or are an existing customer and have not opted out (consent / legitimate interests);

    • operate, maintain and improve our website (legitimate interests / consent); and

    • comply with our legal and regulatory obligations (legal obligation).

5. Marketing

We will only send you marketing communications where we are permitted to do so. You can ask us to stop sending marketing at any time by contacting us at info@southwalesautotech.com or by using the unsubscribe option in any marketing message. Opting out of marketing will not affect any service-related messages we need to send you about a booking or work in progress.

6. Who we share your data with

We do not sell your personal data. We may share it with trusted third parties who help us run our business, including:

    • tuning file providers, where your vehicle and ECU data is needed to produce a bespoke remap file for your vehicle;

    • payment providers, accountants and bookkeepers, for taking payment and keeping financial records;

    • IT, website hosting, communications and software providers who support our systems; and

    • professional advisers, insurers, regulators or law-enforcement agencies, where we are required to share information by law.

We require anyone who processes your data on our behalf to keep it secure and to use it only for the purposes we specify.

7. International data transfers

Most of your data is stored within the UK. Where any of our service providers store or process data outside the UK, we take steps to ensure it is protected to a standard equivalent to that required under UK data protection law, for example by relying on an adequacy decision or appropriate safeguards such as the International Data Transfer Agreement.

8. How we keep your data secure

We use appropriate technical and organisational measures to protect your personal data against unauthorised access, loss, misuse or alteration. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.

9. How long we keep your data

We keep your personal data only for as long as necessary for the purposes for which it was collected. In general, we keep customer and vehicle records, including ECU files, for as long as needed to support ongoing and future work and any applicable warranty, and we keep financial records for at least six years to meet our tax and accounting obligations. Enquiries that do not lead to a booking are kept for a shorter period and then deleted.

For auto locksmith work, we also keep a record of the job and of the proof-of-ownership and identity checks we carried out, so that we can demonstrate that the work was properly authorised.

10. Your rights

Under UK data protection law you have the following rights, which you can exercise free of charge:

    • the right to be informed about how we use your data;

    • the right of access to the personal data we hold about you;

    • the right to have inaccurate data corrected;

    • the right to have your data erased in certain circumstances;

    • the right to restrict or object to our processing in certain circumstances;

    • the right to data portability; and

    • the right to withdraw consent at any time, where we rely on consent.

We may update this Privacy Policy from time to time. The latest version will always be available on our website, and the date at the top shows when it was last updated.
